Spirit - Adding & Removing Leads
Adding a new trip quote to Spirit
There will be times when you need to create a new lead manually after taking a quote request via phone or email. Leads can be added in any screen view via the plus symbol in the top right hand corner of Spirit, from here, you will need to press "New Activity". This will open up a new box where you select the institute that has requested the quote and the activity type which will be "Trip Quote".
A new blank lead will open up with only the institute you have selected filled in. From here, you will need to fill in all of the key details for the trip.
Trip Name: Give the trip a title in the format of destination, travel month and year(London June 2017)
ORGANISATION: This will already be filled in due to the previous step but can be amended using the three dots to the right if you have selected the wrong one.
MAIN CONTACT: Start by searching to see if the group leader is already listed as a contact by clicking the ‘…’ symbol. If the contact is not in the list, you will need to go into the establishment view and add them as a contact. You can do this by closing the Contact box, and clicking on the Organisation box, from here press the (+) in the top corner and Add Contact. Once a contact is added, click save and close this box down. That contact will then appear in the Primary Contact box within the lead.
When entering a new contact, first check they do not already exist (check similar spellings etc.) and ensure you fully complete all the contact details with as much detail as possible (such as correct department, direct/mobile telephone, email) – this is crucial for sales and marketing activity.
Some the boxes are mandatory, meaning they must be filled in before the new contact can be created. If you have missed any of the mandatory details, an error message will appear when trying to save.
CURRICULUM: Select the curriculum focus for the trip, if this is not yet know, you can select "Enrichment & Cross-curriculum" until you know more.
ENQUIRY SOURCE: Select the way the you received the enquiry (call, email, Plan My School Trips, Etc). This is for reporting purposes.
Next, you will need to make sure you are on the tour at a glance tab for the last few details.
SALES OWNER: This is the sales owner of that lead (usually set by Matt if leads come via the website, or defaulted to yourself if adding manually).
DEPARTURE DATE: Set the proposed departure date for the trip, if the enquiry was vague, just set it as the first day of the month they are looking to travel and update when you know more.
TRAVEL TYPE: Set the preferred transport method for this trip (coach, air, train, etc)
TRIP TYPE: Set the Adaptable trip department for the trip (usually ad-hoc)
Save the Lead (green icon top right).
Finally, you will need to add the destination using the plus arrow. Then you can add any notes relating to this trip on the right side of the page.
Move the lead to the ‘PRE-QUOTE’ stage, save and close
